Dashboard

The Dashboard is your central command view for PassportBox. It gives you an at-a-glance summary of your passport portfolio, compliance health, supplier pipeline, and scan activity — all in one place.

Purpose

The Dashboard answers the question "Where does my passport programme stand right now?" without requiring you to navigate to individual records. It aggregates key metrics across your entire account and surfaces actionable signals — such as passports stuck in draft or a falling compliance score — so you can prioritise your next steps immediately on login.

When to Use

  • Daily check-in. Start each session here to see if any passports have moved status or if new scans have been recorded.
  • Compliance reviews. Monitor the compliance score before audits or regulatory reporting deadlines.
  • Onboarding new suppliers. Track how many suppliers are in a pending state so you can follow up or send reminder invitations.
  • Executive briefings. Use the stat cards as a quick snapshot when reporting programme progress to stakeholders.
  • Launching new products. Use quick-action buttons to start a passport or product record without navigating away from the overview.

Prerequisites

No prerequisites are required to view the Dashboard. It is the first page you see after logging in. If your account is brand new, all stat cards will show zero and the recent-passports list will be empty — that is expected behaviour. Start by creating your first passport.

How to Read the Dashboard

    Log in

    Navigate to your PassportBox account. You land on the Dashboard automatically. The URL will be /dashboard.

    Read the stat cards

    Four cards sit at the top of the page. Each shows a count and a label. Read them left to right: total portfolio size, published count, pending suppliers, and scan volume. Together they describe the health of your programme in seconds.

    Check the compliance score

    Below the stat cards is a horizontal progress bar labelled Compliance Score. This is a percentage from 0 to 100. Green (80–100) means most passports meet data-completeness requirements. Yellow (50–79) means gaps exist. Red (0–49) requires immediate attention.

    Review the recent passports list

    The lower section lists your most recently updated passports. Each row shows the passport name, the linked product, the last-updated timestamp, and a coloured status badge. Click any row to open that passport directly.

  5. 5.

    Take action

    Use the quick-action buttons (top-right of the page or within the empty-state panel) to create a new passport or add a product without leaving the Dashboard.

Metrics Reference

Each stat card draws from live data scoped to your organisation.

Passport Status Badges

Each passport in the recent list carries a coloured badge indicating its current lifecycle state.

DRAFT

The passport has been created but not yet published. It is only visible to your organisation. No public URL or GS1 link has been generated. You can freely edit all fields. DRAFT passports do not count toward Total Scans and are excluded from the Published metric.

PUBLISHED

The passport is live. A public URL at /p/[slug] and a GS1 Digital Link have been generated. Scans are tracked. Editing certain fields will require re-publishing to update the public view. Label generation is only available on published passports.

ARCHIVED

The passport has been retired. Its public URL returns a "passport archived" notice to consumers. The record is retained for audit purposes and historical scan data is preserved, but the passport is excluded from compliance score calculations and cannot receive new scans.

Quick Actions

Quick-action buttons appear in the top-right corner of the Dashboard header and also inside the empty-state panel when no passports exist yet.

New Passport

Opens the passport creation form at /dashboard/passports/new. You must have at least one product record before a passport can be saved.

New Product

Opens the product creation flow. Use this first if you have not yet added products to your account. Products are the anchor entity for every passport.

What Success Looks Like

Compliance Score is at 80 or above and the bar is green.

Total Passports equals Published — meaning no passports are stuck in DRAFT.

Pending Suppliers count is zero — all suppliers have completed onboarding.

Total Scans is growing over time, indicating consumers are engaging with your published passports.

The recent passports list shows only green PUBLISHED badges with no stale DRAFT records.

Troubleshooting

All stat cards show zero

This is normal for a new account. Create your first product, then create a passport linked to it. If your account is not new and you see zeros, check that you are logged in to the correct organisation — account switching can cause this if you belong to multiple organisations.

Compliance score is low or red

Open your published passports and look for missing required fields. Common gaps are: no supplier linked, no materials declared, or no carbon footprint value. Fill in the missing data and re-publish to update the score.

Pending Suppliers count is not decreasing

Suppliers may not have received the invitation email or the email went to spam. Resend the invitation from the Suppliers section. If they have accepted but the count has not updated, try refreshing the Dashboard — the stat cards load fresh data on each page load.

Total Scans is not increasing

Scans are only counted for PUBLISHED passports. If all passports are in DRAFT, scans will not be recorded. Confirm your passports are published and that the GS1 Digital Link is printed on product labels. Analytics has a per-passport breakdown — see Analytics for details.

Dashboard is blank or fails to load

Clear your browser cache and hard-reload. If the issue persists, check your network connection and confirm the PassportBox status page shows no active incidents. Contact support if the problem continues for more than a few minutes.
